Guide to using the UNT Libraries data tracking system

Adding Transactions

Logging a transaction is the first and most important step in using Reference Analytics. 

To complete a log, you’ll need to know:

  • Question / Activity type
  • Patron classification
  • Communication method
  • Your department
  • Your role

Optional fields

  • Time spent
  • Add-ons

Question / Answer Fields

Question Box
  • Use keywords or short phrases — full sentences aren’t necessary.
  • Do not include personal details (e.g., names, student IDs, emails); fields are searchable by others.
  • Use the large box below for extra context or clarification.
Answer Box
  • Describe your response using keywords or short phrases.
  • Focus on the main action or outcome, e.g., “Showed how to search JSTOR” or “Referred to subject librarian”.
Additional Notes
  • Date/Time: Edit if logging a past interaction.
  • Answered By: Your name or the person who helped.
  • Public Knowledge Base: Leave this box unchecked.
  • Group Events: Record attendee count in Internal Note field.

Required Fields

Choose the option that best matches the interaction:
  • General Inquiry – Basic information that does not use information resources. Usually directional.***Please see definition of information resources below. 
  • Research / Reference – Consulted information resources including databases, catalog, or used reference skills. ***Please see the definition of information resources below. 
  • Comment / Suggestion – Feedback without a question (both positive and negative).
  • Consultation – Scheduled one-on-one research help.
  • Instruction / Workshop / Tour – Group teaching sessions on library resources. Include count in Internal Note.
  • Outreach / Event / Tabling – Library promotional or engagement events. Include count in Internal Note.

If multiple, choose the last-used method of communication:
  • In-person
  • Phone
  • Chat
  • Email
  • Text (SMS)
  • Virtual Presentation
  • Hybrid Presentation
  • Mail (physical)

Choose your best guess:
  • Undergraduate Student
  • Graduate Student
  • Student (unknown level)
  • Faculty
  • Staff
  • Guest / Community Privileges (included but not limited to courtesy card holders, alumni, and visitors)
  • Group (add attendee count in Internal Notes)
  • Unknown

Select your department (e.g., Access Services, Research Support, etc.).

Choose your role (e.g., GSA, Librarian, Staff).

Optional Fields

Consider adding when applicable:

  • Time Spent: Approximate duration of the transaction.
  • Add-ons: Specific services or resources consulted (e.g., Soundbox for Music).
