Game Bookings

For events held by UNT Departments, the Media Library allows for checkouts that go past the limits of our regular borrowing policies using our bookings function.

  • For UNT Departments, all Game Bookings must be attached to a full-time employee's library account.
    • Student employees may come by to pick up items, but only if they are listed in the request.
  • Student Clubs and Organizations may be authorized to go past regular checkout limits, but must first receive additional permission from the Media Library. Inquiries can be made by submitting a game booking request.
Space Usage

The Media Library can schedule access for two spaces for events, depending on the Media Library's involvement in the event.

250H* (Seats 80).

  • Space Request Notice Guidelines
    • Best practices are to make your request at the beginning of the semester, or 3 months in advance.
      • As this space is utilized by many, providing ample notice will increase your chances of securing the preferred date and time.
      • The Media Library will not process these requests if not given at least 1 month’s notice.
  • Gaming Capabilities
    • This area is suitable for lectures or events that primarily include board games and tabletop role-playing games (TTRPGs).
    • Switch consoles can be hooked up to the two TVs in the room. Currently, Switch consoles are the only ones capable of playing in 250H.
  • Film Capabilities
    • Suitable for screenings utilizing DVD, Blu-Ray, and streaming options.
    • PPR is required for all screenings. It is the responsibility of the organization hosting the event to secure PPR.

*Unless the Media Library is an official partner, collaborator, or participant in an event at 250H, requests to use the space should be directed to the following-

  • Non-library employees: Direct your requests to Lib.Facilities@unt.edu
  • Student Organizations: All requests should be made through OrgSync

The Nest (Seats 20)

  • Space Request Notice Guidelines
    • The Media Library requires at least two weeks' notice to process requests for recreational space.
  • Gaming Capabilities
    • This area is suitable for events that include video games (PC and console), board games, and tabletop role-playing games (TTRPGs).
      • Request games with your space request to avoid confusion.
  • Film Capabilities
    • Suitable for film screenings utilizing DVD, Blu-Ray, and streaming options.
Film and Public Performance Rights

Any department or student organization planning to use a Media Library film should ensure that it possesses public performance rights. The following page will assist you in evaluating this option:

Public Performance Rights

If the library does not have a film with public performance rights, please be aware that obtaining these rights for an event requires at least two months' prior notice. Requests submitted after this timeframe will not be eligible for consideration.

Please note that any fees associated with public performance rights are not the responsibility of the Media Library unless the screening is organized in partnership with the Media Library.

Student Organization Events and Activities

Student organizations that are registered through UNT OrgSync are permitted to hold events in The Nest, provided they follow the appropriate approval process.

All event requests must receive prior approval, which includes submitting an Event Application in accordance with Student Organization Event Application Procedures. (UNT Policy 07.019 Student Organizations)
